PI Separation from the University

Description

When a Principal Investigator (PI) separates from the University, decisions must be made regarding their active awards. The first step is to review the award’s terms and conditions to determine if separation is addressed. Consult both the sponsor and SPA Award Management to confirm the necessary steps.

PIs and units should always refer to the PI Separation Checklist for a comprehensive list of tasks to complete before the PI departs.

Options for Active Awards

Award Remains at the University with a New PI

  • Requires approval from the new PI and Dean/Unit Head.
  • Submit the Supplemental Approval Form (SAF) to SPA.
  • SPA may need to execute an amendment to formalize the PI change.  In some cases, written communication may suffice, depending on the sponsor.
  • A subaward to the PI's new insitution may be issued if they will continue working on the project.  If needed, submit a subaward request using the appropriate eForm.

Award Transfers to the PI's New Institution

  • Submit a transfer request to the sponsor.  Depending on the award terms, this may be done by SPA Award Management or the PI/unit.  If uncertain, consult your SPA Award Management contact.
  • SPA may need to execute an amendment to terminate the award at the University.
  • The PI/unit must request termination of any active subawards using the appropriate eForm.
  • SPA Award Management, the PI, and the unit will collaborate to close out the award and submit any outstanding technical and financial reports.

Award is Terminated

  • In rare cases where the above options are not feasible, SPA may execute an amendment for early termination of the award.
  • The PI/unit must request termination of any active subawards using the appropriate eForm.
  • SPA Award Management, the PI, and the unit will collaborate to close out the award and submit any outstanding technical and financial reports.
